Terms of Business

Simply Insurance Services Limited are a wholly owned and independent insurance intermediary offering policies from a range of different insurers. Our aim is to provide you with clear and accurate advice that will enable you to make a choice that is right for you about your insurance needs.

Due to the generally low levels of commission now being given by insurers we do make the following administration charges IN ADDITION to the policy premium. Neither these, nor the commission paid to us by your policy insurer, is refundable in the event of cancellation OR a mid-term change.

* We reserve the right to vary our charge for arranging or renewing your policy. We will confirm the charge when supplying your initial documents. Any amount up to, and including, £35.00 will be nonrefundable but any amount OVER this will be subject to refund in the event of cancellation, in line with insurer's own scale for the same.

Payment of your policy can be made by either credit or debit card although any payment made using a credit card will be subject to an additional 3% levy. We may accept payment via a cheque or postal orders on referral.

If opting to settle your premium via a monthly payment facility (this will be out-sourced to a finance provider) your details may be passed to a credit reference agency.

As an authorised intermediary, under the Financial Services Authority (FSA), we do operate a set cancellation & complaints procedure. Details of these are given below.

The onus is ALWAYS with you, the policyholder, to ensure that both we AND your policy insurer are provided with complete and accurate information, not only at inception & renewal of your policy, but also throughout the life of your policy.

All personal information is treated as private & confidential. We will not disclose any information about you to any other parties without your consent. We observe the 1998 data protection act. You have the right to see any personal information about you we hold subject to a £45.00 fee.

Cancellation and Complaints

Cancellation

You can cancel your policy at anytime by returning your current certificate, or cover note, with a covering letter. We would ask that you confirm your reason for cancellation and the exact date that you would like cancellation to take effect.

As your policy has NOT been arranged 'face-to-face' you are entitled to a fourteen (14) day 'cooling off' period, effective from the date you receive these papers. This simply means that you can cancel the policy, during this period, and receive a refund of any monies paid. Your insurer will retain a pro-rata amount (based on their original annual premium) for the period of cover given and we, in turn, will retain an administration fee of £25.00. All other monies paid by you (excluding any extra amounts paid for legal expenses cover OR breakdown recovery) will be returned. In accordance with our terms of business as detailed above we will also retain any commission amount paid to us by your insurer.

Complaints

It is, of course, our sincere wish that you do not feel the need to complain but if you do we operate a strict procedure that is designed to be both prompt and fair.

Please ensure that you clearly state your name, address (or that of the policy holder, if not yourself) and the details of your complaint. If you are also able to give staff names or refer to dates of conversations this may also be useful.

We will acknowledge, in writing, receipt of your complaint within five (5) working days and at this point will confirm who will be dealing with your complaint so that you may refer to that person directly. We will then look to give our final, and considered, answer within eight (8) weeks.

At the time of writing to you with our final response we will also provide you with details of the Financial Ombudsman Service (FOS). If you are still unhappy with our response you can refer your complaint on further to the FOS.

As members of this independent dispute resolution scheme we have agreed to be bound by their decision.

Privacy Policy

We are committed to protecting your privacy. We will only use the information that we collect about you lawfully (in accordance with the Data Protection Act 1998).

We collect information about you for 2 reasons: firstly, to process your order and second, to provide you with the best possible service.

We will not e-mail you in the future unless you have given us your consent.

We will give you the chance to refuse any marketing e-mail from us or from another trader in the future.

The information we hold will be accurate and up to date. You can check the information that we hold about you by writing to us (see terms of business and our contact details). If you find any inaccuracies we will delete or correct it promptly.

The personal information which we hold will be held securely in accordance with our internal security policy and the law.

If we intend to transfer your information outside the EEA (European Economic Area) we will always obtain your consent first.

Internet Cookies and Tracking

We may use technology to track the patterns of behaviour of visitors to our site. This may include storing your "IP address" which in turn may be used to identify you depending on what other personal information you provide to us during your visit to our website.

Alternatively, tracking may include using a "cookie" which would be stored on your browser. You can usually modify your browser to prevent this happening. The information collected in this way can be used to identify you unless you modify your browser settings.
